    TITLE: PAYROLL SPECIALIST II

    JOB SUMMARY:

    Accurately administer payroll for approximately 1,500 employees covering multiple states and companies. Assist with development and administration of HRIS and Timekeeping systems. Responsible for accurate and timely filing of federal, state and local withholding and unemployment taxes. Work with Payroll Leadership to identify and implement payroll improvement efficiencies and initiatives.

    JOB RESPONSIBILITIES:

    • Compliance checks on new hire paperwork, including job applications, I-9 and W-4’s.
    • Process bi-weekly and off-cycle payrolls ensuring transactions are processed in compliance with external and internal policies.
    • Data entry of new hires, employee data changes and administration of time off plans for multiple companies, pay structures and benefit programs.
    • Work with multiple state jurisdictions in regards to garnishments, tax levies and support payments.
    • Bi-weekly payment of Federal and Social Security Taxes.
    • Maintain knowledge of rules and laws in accordance with state and federal statutes.
    • Maintain electronic and paper personnel files.
    • Respond to Employee inquiries regarding payroll issues and Employee Self Service.
    • Assist Leadership teams in the areas of Manager Self Service and time keeping.
    • Assist in the development of payroll processes and procedures.
    • Prepare reports as needed for Leadership teams and Senior Managers.
    • Assist in the development of Employee Self Service and Manager Self Service functionality.
    • Develop and provide training to Employees and Leadership teams in the HRIS & Timekeeping systems.
    • Assist Payroll Leadership with the maintenance and annual setup of the Payroll and Timekeeping systems.
    • Filing and payment of monthly, quarterly and year-end federal, state and local withholding and unemployment taxes for multiple states and companies.

    KNOWLEDGE AND SKILLS:

    • Four years of related experience or equivalent combination of education and experience preferred.
    • Must be a critical thinker and possess a strong knowledge of accounting principles and payroll.
    • Strong attention to detail and accuracy is imperative.
    • Strong written and verbal communication skills with the ability to communicate effectively at all levels.
    • Must be able to prioritize, problem solve and multi-task in a fast paced environment.
    • Ability to meet deadlines and function under pressure.
    • Ability to maintain confidential and sensitive information with professionalism and discretion.
    • Must have the ability to work as a team and independently with minimal supervision.
    • Ability and willingness to work overtime when needed.
    • Experience of Excel, Word and Outlook required. Experience in payroll ERP and timekeeping systems preferred.
